For this versatile facility finding the right HIS took time. It took time because they were demanding. Then they came across SOFTWAY MEDICAL and their HOSPITAL MANAGER solution. Max Ponseillé, CEO of OC Santé says «Computerizing our medical records and administrative procedures is something we’ve been thinking about for a long time. In 2008, HOSPITAL MANAGER’S management and medical modules were deployed in the general, surgical, and obstetric facilities, then in the follow-up and rehab and the psychiatric units.

THE SAINT-ROCH POLYCLINIC, EXPERIMENTATION SITE

Founded in 1947, this Montpellier-based facility, certified by the French Health Authority in 2012, is recognized for its quality of care in general, surgical, and obstetric medicine. It was the first establishment in the group, and has remained at the forefront of innovation. It was the first to test the HIS common model and it is where the Patient Axis was developed. According to its director, the new information system must fulfill certain essential criteria:

– be based on patient care, from admission through to discharge

– remove boundaries between the administrative (PAM) and medical side and allow users to be more versatile with respect to the tool

– eliminate redundancy so that information is only entered once, and is accessible to all

He is also a strong advocate of outpatient surgery as a response to medical and organizational issues, and as an element of modernity. Outpatient surgery represents around 60% of hospital stays at Saint-Roch. Pierre Maurette, director of the polyclinic says, «Outpatient care is a fundamental principle of our primary objective: to improve the quality of care. But to attain the quality objectives without disrupting patient care, our facility requires a specific organization. HOSPITAL MANAGER is one of the main pillars of this organization. The HM Planning and HM Agenda modules make it possible to organize admissions with the prescribing local doctor, prior to the patient’s arrival. Using a dedicated Internet site, the local doctor can communicate information about the patient to the clinic which does not then need to re-enter it. The Pre-Anesthesia Consultation (PAC) form used in HOSPITAL MANAGER also enables important information to be obtained directly prior to hospitalization. Examination results are scanned.

All this data is grouped together in HM Medical Record. Being able to get this information beforehand meant we could eliminate the waiting rooms and admissions desk. When patients arrive they go directly to their rooms and their discharge is prepared during their stay in the clinic. A new organization brings with it a new job, that of the nurse coordinator who welcomes the patients and looks after them before and after their operations. HM Medical Record provides complete, high-quality records. Integrated and used by all players, it registers administrative information, keeps a track of medical procedures, and enables information to be shared so that the patient receives better care.

HM ProgrammingHM Planning (pre-admission, patient flow management), was deployed in 2011 and is an important element particularly for pre-anesthesia consultations (PAC). The setting up of web access in the surgeries of local doctors who prescribe the establishment, saves a considerable amount of time and above all satisfies the requirement for a coordinated healthcare circuit. At Saint-Roch, 95% of patients booked in for outpatient surgery have a PAC. This procedure, which is based on a custom form, makes it possible to collect and disseminate all information about the hospital stay in the patient’s record, simply and securely. 100% of all care and prescriptions are tracked in HM Prescription. The Medical Portal, which is available to all practitioners, won over the medical staff as soon as it was installed in April 2014. One screen centralizes and summarizes all a patient’s medical information. It is customizable, provides intuitive access to data, and is easy to navigate. Laurent Sanchez, OC Santé’s director of information systems says, «Doctors are unanimous. For the first time they have been listened to and understood by a software company. »

THE CLINIQUE DU MILLENAIRE, BENEFITTING FROM SUCCESSFUL POOLING

Opened in 2003 after consolidating several activities, the clinic revolves around several areas of specialty: medical and surgical cardiology, digestive surgery and gastroenterology (most of which is carried out on an outpatient basis), neurosurgery, neurology, (including strokes), pneumology, and lastly an acute geriatric medical unit. There are many exchanges of opinion and consultations at the clinic, all of which are easy to track with HOSPITAL MANAGER. As of June 2009 the solution was able to be deployed over 100% of the 54 medical beds. The Millénaire was able to capitalize on the preliminary work SOFTWAY MEDICAL had already carried out at the clinic: installation of the software, development of new processes, change of organization, without having to go through a phase of testing and trial and error. That is the strength of a shared information system.

Jean-Dominique Mouchard, head of the clinic says, «We needed to change the way we dealt with hospital admissions to make it easier for our patients. We adopted and adapted the organizational model of Saint-Roch, relocated offices on the floors, and it all works very well. It is successful because all the clinics share the same system.
